Why it fits

A direct booking path without overbuying software

RentalBeam keeps the guest-facing website flow focused: accurate dates, and payment only when it suits how you host.

Your venue calendar, published

Import an iCal feed from Google Calendar or any venue tool that publishes one, and booked event dates show as taken on your website automatically.

One event per day, made obvious

A date is either open or taken. Couples and clients see that before they email, so you stop answering inquiries for dates that were never available.

Inquiries with the details you need

On Pro, the booking form collects event type, headcount, and catering notes through custom fields - and every inquiry waits for your approval.

Day-based pricing when you want it

Set a per-day rate with seasonal pricing and optional fees, or keep pricing hidden and quote manually after reviewing the inquiry.

The back office behind your booking widget

The calendar and form are what visitors see. Behind them sits the RentalBeam dashboard where you review, manage, and get paid for every booking - all on your own website, and we never take a cut.

Every date inquiry waits for your yes

A client picks an open date and sends their details from your venue website. The inquiry arrives by email with a secure review link where you see the full request and approve, decline, or send a payment request - nothing is booked until you approve.

Collect event details with every inquiry

The booking form gathers event type, headcount, and catering notes through custom fields - up to 20 per venue. Add a file-upload field for a floor plan or document, viewed securely from the booking in your dashboard.

Take a deposit after you approve

We never take a cut of what you charge. Approve an inquiry and send a secure payment request for the deposit or balance, or record a bank transfer yourself - with a branded invoice PDF either way.

Frequently asked questions

Common questions for event venue operators

Does RentalBeam charge a commission or booking fee on Pro?

No. RentalBeam Pro takes no commission and no booking fee - your direct booking revenue is 100% yours. The booking form widget, guest payment workflow, coupon codes, seasonal pricing, custom fields, and booking rules are all included. The only cost when a guest pays by card through RentalBeam is the standard Stripe card-processing fee, which is paid to Stripe, not RentalBeam. Inquiry-only and pay-later flows have no per-transaction cost.

Does RentalBeam take a commission on my direct bookings?

No. RentalBeam never takes a commission on your booking revenue on any plan, and Pro adds no RentalBeam booking or application fee. If a guest pays by card through RentalBeam, only the standard Stripe card-processing fee applies - that fee goes to Stripe, the same as any payment processor. Inquiry-only, pay-later, and off-platform bookings (such as bank transfer) have no per-transaction cost at all.

Does RentalBeam support coupon codes and discounts?

Yes. RentalBeam Pro includes coupon codes, percentage and fixed-amount discount rules, seasonal prices, and a weekend price. You can run promotional codes for repeat guests, configure off-season discounts, and combine them with custom fees and booking rules from the same booking form widget setup.

Can I charge sales tax, VAT, or occupancy tax on my booking form?

Yes. RentalBeam Pro supports percentage fees built for taxes: you enter the rate (up to three decimals, so rates like 8.875% work) and it is calculated on the discounted subtotal plus your other fees, the same base tax authorities use. The rate can be added on top of your prices (US-style sales tax) or shown as already included in them (EU-style VAT, with an "Includes Tax" line under the total). You can exclude individual fees from the tax base when your jurisdiction does not tax them, and guests see the tax clearly labeled with the rate. Fixed per-person tourist taxes are also supported through per-guest-per-night fees with child age rules.

Can I message guests from my email inbox?

Yes. On Pro, every booking notification email includes a reply address linked to that booking. Reply in Gmail, Apple Mail, or any email app and your message goes to the guest. When they reply, it comes back to your inbox and is saved in the dashboard Messages tab. Your personal email address is never shared with the guest.

Does RentalBeam work for event venues?

Yes, for venues that host one event per day - wedding venues, party barns, photo studios rented by the day. The availability calendar shows each date as open or taken, and on Pro the booking form takes day-based inquiries. RentalBeam does not handle time slots or multiple events on the same day.

Can I sync availability from Tripleseat or Google Calendar?

RentalBeam imports availability from any calendar that publishes an iCal feed. Google Calendar publishes one, and venue-management tools such as Tripleseat offer iCal calendar feeds you can subscribe to. Paste the iCal URL into RentalBeam and booked dates show as taken on your website, refreshed automatically at most every 15 minutes.

Can I take multiple events or time slots on the same day?

No. RentalBeam is day-based by design: a date is either open or taken as a whole day. You can collect a preferred start time as a form field, but if your venue runs several separate events per day, a time-slot scheduling tool is the better fit for that job.

How do clients book a date?

Inquiry-first: clients pick an open date on your website and send their details, and nothing is confirmed until you approve. On Pro you can then send a secure payment request for the deposit or balance, and confirmed bookings block their own dates automatically.
