Vehicle & equipment rentals

Rent out trailers, boats, RVs, cars, or gear and every screen says pick-up and drop-off.

Choose what guests are booking

Open Bookings, Booking settings, Setup and look at the first question: What are guests booking? Pick A stay for a home, room, cabin, or campsite, or A vehicle or equipment for a trailer, car, RV, boat, bike, or gear. Every rental you created before this setting existed is a stay, and nothing about it changed.

The choice only changes words and one control. Pricing, fees, discounts, booking rules, availability, calendar sync, and payments behave identically on both kinds. Text you wrote yourself is shown to guests exactly as you typed it: the rental name, the widget title, your policy wording, a fee note.

The booking settings Setup tab with the two cards under What are guests booking: A stay, and A vehicle or equipment, with the vehicle card selected and the 24-hour day note under it
The Setup tab: pick the vehicle card and every word on the form, in your emails and in this dashboard follows.

What changes on a vehicle or equipment rental

RentalBeam’s own words change everywhere at once: the booking form in all 24 languages, your guest and host emails, the review link you open, the guest’s payment page, the bookings inbox, the booking detail, your payment documents, and the booking settings labels.

The guest counter disappears from the form, and the guests row is left out of your emails, the review page, the payment page, the inbox, and your payment document defaults. The Guests & Policies section goes quiet and points back at Setup. Custom fields still work the same way, so a Pro form can ask for a tow vehicle, a hitch class, and a license, and take a photo ID upload of up to 3 files per field at 10 MB each.

The confirmation a renter gets on a vehicle rental: pick-up, drop-off, days, no guest count.

How a rental day is counted

A day runs 24 hours from pick-up, the period the vehicle rental industry bills in. Pick up on Monday and drop off by the same time Tuesday and that is one day. A renter who brings the trailer back the same evening books one day and returns it early. Booking Monday to Thursday is three days, priced the same way three nights would be.

Hourly rentals, time slots, and a booking that ends on the day it starts are not supported. Every booking covers at least one day. If you need to know what time someone plans to collect, add a time custom field to the form and read it with the request.

Collections with mixed kinds

A collection shows several of your rentals in one widget. It speaks the vehicle vocabulary only when every member is a vehicle or equipment rental, so a trailer company’s collection says pick-up throughout. Mix a cabin into that collection and the shared picker falls back to check-in and check-out, while each member’s own booking form still speaks its own kind.

Switching a rental between kinds

You can change the choice at any time, and it takes effect on the next form load. Switching to a vehicle hides the guest counter but leaves your stored guest settings alone, so switching back restores the counters, age bands, and limits exactly as they were. Bookings already taken keep their dates and their totals; only the words around them change.

The three booking flow modes are chosen on the same Setup tab and work identically on both kinds. See Booking flow modes.
